Getting Started

New to finTrack? Follow these steps to get your account fully set up in under 5 minutes.

Create your account

Sign up at fin-track.app using your Google account or email. No credit card is required to start — the Free plan is yours for as long as you need it.

Complete the setup wizard

On first login you will be taken through a short wizard. Enter your business name, preferred currency, and country. This configures your chart of accounts and tax defaults automatically.
3

Add your first account

The wizard will prompt you to add a bank or cash account with an opening balance. This becomes the anchor for your financial records. You can add more accounts any time from the Accounts page.

Configure payroll settings (optional)

If you have employees, head to Payroll → Settings and choose your country preset. finTrack pre-loads the correct statutory deductions (EPF, PAYE, etc.) for your region.

You're live!

Your dashboard is ready. Start recording transactions, running payroll, or filing taxes — all from the left sidebar.

finTrack is local-first — your data is stored in your browser's secure IndexedDB storage. Nothing leaves your device unless you explicitly enable Cloud Sync. You own your data completely.

AI Setup WizardAI

When you first sign in, finTrack runs a short AI-powered wizard that builds your chart of accounts and starter budget automatically — tailored to your country, industry, and business structure. No accounting knowledge required.

AI Account Generation

The wizard collects a few details about your business, then sends them to the AI which selects the most appropriate accounts from a curated library. The result is a complete chart of accounts — assets, liabilities, income, and expense categories — ready the moment you land on the dashboard.

Country-aware accounts

Sri Lanka gets WHT Payable and WHT Receivable. Australia gets a GST Payable account. EU businesses get VAT Liability. The AI picks the right compliance accounts for your jurisdiction automatically.

Business persona matching

A freelancer gets Accounts Receivable, Service Revenue, and a Client Deposits account. A product business gets Inventory, COGS, and Accounts Payable. The AI skips accounts that do not apply to your setup.

Legal structure awareness

Sole traders and partnerships get Owners Equity and Drawings accounts. Companies get Share Capital and Retained Earnings. The equity section of your balance sheet is correct from day one.

Fully editable afterwards

Every generated account can be renamed, recategorised, or deleted from the Accounts page. The AI suggestion is a starting point — adjust it to match your actual business structure.

AI Budget Setup

After accounts are created, the wizard moves to budget setup. The AI proposes monthly income and expense targets based on your country, business persona, and (optionally) your estimated monthly revenue — with savings-rate tips targeted at your highest-spend categories.

Complete your profile

Enter your business name, country, and currency. Then describe your business: persona (freelancer, business owner, investor), industry, legal structure, and optional flags like inventory management, foreign clients, or VAT registration.

Review AI-generated accounts

The AI creates your chart of accounts. Review the list — add any accounts you need, remove any that do not apply. You can always adjust this later from the Accounts page.

Review AI budget suggestions

The AI proposes category-level budget targets. Adjust any figure to match your actual targets, then confirm.

Enter opening balances

On the final wizard step, enter the real-world balance for each account on your start date. See the Opening Balances section below for a full walkthrough.

You can re-run any part of the wizard from Settings → Setup Wizard if you need to update your business profile or regenerate your accounts for a different structure.

Pro TipBe as specific as possible in the profile step — mentioning "SaaS subscription business with foreign clients" gives the AI enough context to include accounts like Deferred Revenue and Foreign Currency Gains/Losses that a generic setup would miss.

Multi-Entity & ScopesNew

finTrack supports rigorous multi-entity fund accounting. You can manage personal finances alongside multiple distinct business profiles (e.g., Freelance, E-commerce, LLCs, or Partnerships) under a single workspace with strict ledger segregation.

Defining Your Scopes

Navigate to Settings → Entities & Scopes to configure your wealth and business scopes:

Personal Wealth Scopes

Toggle personal income streams on or off: Employee (W2 / Salary), Freelancer, and Personal Investments.

Registered Business Profiles

Create distinct business entities (e.g., "KP Youtuber", "Tech Agency LLC"). Each profile maintains an isolated Chart of Accounts generated automatically.

Contextual Transaction Entry

When recording any transaction or journal entry, select the appropriate scope at the top of the form. The account and category dropdowns automatically filter to display only accounts belonging to that scope, eliminating cross-contamination.

Inter-Company Transfers

When moving funds between entities (e.g. transferring capital from your LLC bank account to your Personal account), the transaction form supports cross-entity destination selection. The engine automatically posts balancing "Due To / Due From" inter-entity clearing entries.

Pro TipWhen viewing financial statements in Reports, use the scope selector to view a standalone entity's performance, or select Consolidated (All) to view native side-by-side ledgers with automatic inter-company eliminations.

Dashboard

Your financial cockpit. The dashboard gives you a real-time picture of business health at a glance.

Pulse Card

Live metrics — net profit, burn rate, and cash position. Updates as you record transactions.

Transactions & Accounts

Recording a transaction

Open Transactions from the sidebar

Click the Transactions link in the left navigation. Use the + New button in the top-right corner.

Fill in the basics

Enter the date, description, amount, and select a category. Choose whether it is an Income or Expense. Select the account it belongs to (e.g. Checking Account).

Use Journal Mode for complex entries

Toggle Journal Mode to split a single transaction across multiple accounts — for example, recording both the bank payment and the VAT payable on a single invoice. The balance indicator turns green when debits equal credits.

Navigate to Accounts to create and manage your chart of accounts. Each account tracks its own running balance.

Contacts & Vendors

Link transactions to contacts (clients or vendors) from the Contacts page. This powers the customer spending reports and vendor payment history.

Opening Balances

Opening balances anchor your chart of accounts to the real world. Set them once when you start using finTrack, and your Balance Sheet is correct from day one — no manual journal entries required.

What are opening balances?

Every account needs a starting point. If your business bank account held $12,500 on the day you began using finTrack, that $12,500 is its opening balance. finTrack records it as a special balanced journal entry — so it appears on your Balance Sheet correctly without inflating your income or expense figures.

How to enter opening balances

Open the Opening Balances page

Go to Accounts → Opening Balances in the sidebar, or click the Opening Balances button at the top of the Accounts page.

Enter your asset balances

For each asset account — cash, checking, savings, receivables, fixed assets — enter the balance you held on your start date. Leave zero for accounts that had no balance at that point.

Enter your liability balances

For each liability account — credit cards, loans, tax payables — enter the amount you owed on your start date.

Save

Click Save Opening Balances. finTrack posts a single balanced journal entry covering all your accounts at once. Your Accounts page will immediately show the correct starting balances.

Safe to re-run

Made a mistake? Go back and correct it. When you save again, finTrack automatically removes the previous opening-balance journal before posting the new one — so there is never any risk of double-counting your starting figures.

Asset vs. liability split

The page separates accounts into two groups — assets (what you own) and liabilities (what you owe). Enter positive numbers for both; finTrack applies the correct debit/credit treatment automatically based on account type.

Opening balances represent your position before you started using finTrack — not ongoing transactions. Do not re-enter them for cash received or paid after your start date. Use the normal transaction form for those.

Pro TipNot sure of the exact figures? Use your most recent bank statement and last tax return as a reference. Approximate balances are far better than leaving everything at zero — you can fine-tune them later without affecting your transaction history.

Categories

Categories classify every transaction as a specific type of income or expense. They drive your reports, budgets, and AI analysis — so keeping them well-organised matters.

Managing categories

Navigate to Categories from the sidebar. You will see all your income and expense categories with their transaction count and this month's spend.

Parent & Sub-categories

Organise categories into a hierarchy. For example, a parent "Operating Expenses" with children "Rent", "Utilities", and "Salaries". Reports can roll up to the parent level.

Usage Counts

Each category shows how many transactions are linked to it this month. High-volume categories are easy to spot at a glance.

Voice Creation

Use the voice button on the Categories page to create a new category by speaking — the AI parser extracts the name and type.

Safe Deletion

finTrack prevents deleting a category that has transactions linked to it. Reassign those transactions first, then delete.

Pro TipKeep category names short and consistent. Avoid creating near-duplicates like "Office Supply" and "Office Supplies" — they will fragment your reports and make AI categorisation less accurate.

Invoicing & Quotes

Create professional quotes, invoices, and credit notes. Send them to clients, track payments, and automate recurring billing — all in one place.

Quotes (Pro Forma)

Send a quote before work begins. Convert it to a final invoice in one click once the client approves.

Final Invoices

Sequentially numbered (INV-0001, INV-0002…). Track status through Draft → Sent → Overdue → Paid.

Credit Notes

Issue a credit note against any paid invoice for returns or adjustments. Amounts are automatically negated.

Recurring Invoices

Set up a template that auto-generates invoices on a schedule — weekly, monthly, or custom intervals.

Creating an invoice

Open Transactions and select Invoice type

Go to Transactions → New Transaction and set the type to Invoice (or Quote for a pro forma).

Fill in client and line items

Select the client contact, add line items with descriptions and amounts, and set the due date. finTrack calculates the total automatically.

Save as Draft or Send

Save as Draft to review later, or click Send to mark it as sent and email the client (requires email configured in Settings).
4

Track and mark as paid

Open the invoice from the Transactions list to update its status. When payment arrives, click Mark as Paid — finTrack records the income entry automatically.

Auto-overdue detection

finTrack automatically transitions any Sent invoice past its due date to Overdue status. These appear highlighted on the Transactions page so you can follow up promptly.

Recurring invoices

Create a recurring profile

From any invoice, click Set as Recurring. Choose the interval (weekly, monthly, quarterly) and whether to auto-send.

Auto-generation

When the next invoice is due, finTrack generates it automatically from the template. If auto-send is enabled, it is emailed to the client immediately.
Pro TipSequential invoice numbers (INV-2024-0001) reset automatically at the start of each calendar year. Credit notes use the CN- prefix. Both series are tracked independently.

Free plan users can create up to 5 invoices per month. Pro and Business plans have unlimited invoices.

Quote Calculator & FX TrackingNew

Two tools for cross-border freelancers and SMBs: a reverse-compound quote calculator that tells you exactly what to charge a client, and automatic FX gain/loss tracking on your invoices.

Quote Calculator

Start with the amount you want to land in your bank account after all deductions. The calculator reverse-compounds platform fees, withholding tax, and transfer fees to tell you what to quote the client.

Enter your desired net amount

Type how much you need in your home currency (e.g. LKR 150,000).

Choose from presets: Upwork (tiered), Fiverr (20%), Payoneer (2%), Wise, Bank Wire, etc. Or add a custom platform.

The calculator shows the exact USD amount to quote the client, a full deduction breakdown, and the net you'll receive — colour-coded green/amber/red.
Pro TipThe FX rate auto-fetches from the live market. You can override it manually if you have a locked rate from your payment provider.

Multi-Currency FX Gain/Loss Tracking

When you create an invoice in a foreign currency, finTrack records the billing FX rate at that moment. When you mark the invoice as paid, it records the payment FX rate. The difference is your realised foreign exchange gain or loss — shown on the dashboard in the FX Impact widget.

FX gain/loss tracking is automatic — no extra steps required. The rates are fetched from the open-source Frankfurter API (ECB data) at the time of each action.

Adding Products & SKUs

Navigate to Inventory

Open Inventory from the sidebar and click Add Product.

Define product specifications

Enter the SKU code, item name, category, unit cost, selling price, applicable tax rate, and minimum reorder threshold.

Assign Barcode or Generate Label

Scan an existing manufacturer barcode or let finTrack generate a unique internal barcode. You can print barcode label sheets directly from the portal.

Stock Adjustments & Invoicing Sync

Inventory is deeply integrated with the Invoicing engine:

  • Automatic Deductions: Dispatching or marking an invoice as paid automatically decrements quantity on hand.
  • Manual Adjustments: Log stock-in receipts, damages, returns, or write-offs with audit notes.
  • COGS Calculation: Automatically updates Cost of Goods Sold (COGS) in your Income Statement based on weighted average cost.

Inventory tracking is available on Pro and Business tiers. Multi-warehouse stock tracking and custom barcode printing are supported on Business plans.

Importing Data

Migrate historical records from your bank or spreadsheet into finTrack using the CSV importer — no data entry required.

Importing a CSV file

Export from your bank

Download a transaction export from your online banking portal. Most banks offer CSV or Excel. Save the file to your device.

Open the importer

Go to Transactions and click Import CSV in the top-right toolbar.

Upload and map columns

Drag the file onto the upload zone. The importer displays a preview of the first 5 rows. Drag each column header to match the corresponding finTrack field (Date, Description, Amount, Type). finTrack saves this mapping per institution — so future imports from the same bank skip this step.

Review and confirm

A preview grid shows every transaction to be imported with colour-coded rows (green = valid, amber = needs attention). Uncheck any rows you want to skip, then click Import.

Avoid importing the same date range twice — finTrack does not auto-deduplicate. Use the date filter in the review grid to exclude already-imported rows.

Pro TipFor large historical imports (1,000+ rows), break them into monthly batches. This makes it easier to spot anomalies before they compound.

Fixed Assets Register

Track capital assets, calculate depreciation automatically, and record disposals — keeping your balance sheet accurate without manual journal entries.

Adding an asset

Open the Assets register

Navigate to Accounts → Assets (or use the sidebar). Click Add Asset.

Enter asset details

Fill in the name, purchase date, cost price, and asset category (Plant & Machinery, Vehicle, Computer Equipment, etc.).

Choose a depreciation method

  • Straight-Line (SLM): Equal charge each year. Best for assets with uniform usage (e.g. office furniture).
  • Written Down Value (WDV): Higher charge early, declining over time. Reflects technology assets that lose value quickly (e.g. laptops).
  • None: No depreciation posted — use for land or non-depreciable items.

Set useful life and salvage value

Enter the expected useful life in years and the estimated residual (salvage) value at end of life. finTrack calculates the annual and monthly depreciation charge for you.

Posting depreciation

Click Post Depreciation on any asset to record the current period's charge as a journal entry (Debit: Depreciation Expense; Credit: Accumulated Depreciation). The asset's net book value updates automatically.

Disposing of an asset

Click Dispose on any active asset. Enter the disposal date and proceeds received. finTrack calculates the gain or loss automatically (Proceeds − Net Book Value) and posts the closing journal entries in one click.

Asset statuses — Active, Fully Depreciated, Disposed, Written Off, Held for Sale — are tracked automatically so your register always reflects the current state of each item.

Pro TipExport the full asset register as PDF or Excel from the Assets page for your annual audit. The export includes cost, accumulated depreciation, net book value, and disposal details for each asset.

Select the asset class (Equities, Crypto, Real Estate, Metals, Venture), specify quantity, acquisition price, currency, and custodial wallet/brokerage.

View aggregated liquid vs. illiquid net worth, unrealized ROI, and forecasted compounding growth curves directly on your dashboard.

All investment values can be isolated per legal entity or aggregated globally across personal and corporate scopes.

Reconciliation

Match your finTrack records against external statements to catch errors, duplicate entries, or missing transactions before they affect your reports.

Bank Reconciliation

Compare your ledger against a bank statement. Mark cleared items and investigate discrepancies.

Supplier Reconciliation

Reconcile your accounts payable balance against a supplier's statement to resolve disputed amounts.

Internal Reconciliation

Match transactions between two of your own accounts — useful for intercompany or sub-account balancing.

Running a bank reconciliation

Set up the statement

Go to Reconciliation. Select Bank Reconciliation, choose the account, and enter the statement date range plus the closing balance from your bank statement.

Match transactions

finTrack displays your ledger entries alongside the statement lines. Click Match on each pair. Use the AI-assisted matching toggle to let the system suggest likely matches based on amount and date proximity.
3

Investigate differences

Unmatched items show in the Outstanding column. These are either timing differences (e.g. cheques in transit) or errors. Drill into each to decide whether to create a new transaction or flag for review.

Complete the reconciliation

When all items are matched and the difference reaches zero, click Complete. A reconciliation summary is saved to the history for audit purposes.

Custom reconciliation rules

Open Rules in the reconciliation toolbar to define automatic matching rules. For example: "If description contains 'Stripe' and amount is within ±$1 of the statement line, auto-match." Rules run on every future reconciliation of that account — saving hours of manual work on recurring items.

Reconciled transactions are locked and cannot be edited without breaking the reconciliation. This protects the integrity of your audit trail.

Payroll

Run payroll, generate payslips, and maintain a full payroll history — with automatic statutory deduction calculations for your country.

First-time setup

Choose your country preset

Go to Payroll → Settings. Select your country from the preset list. finTrack will load the correct pay items — for example, Sri Lanka includes EPF (Employee 8%, Employer 12%), ETF (3%), and APIT (progressive PAYE).

Add employees

Navigate to Contacts and create a contact record for each employee with their basic salary. Contacts of type Employee appear in payroll runs automatically.

Customise pay items (optional)

Add or edit pay items in Payroll Settings to match your business — for example a Transport Allowance or Meal Allowance. Each item can be a fixed amount or a percentage of basic salary.

Running payroll

Select the pay period

Go to Payroll → Run Payroll. Pick the month you are processing.

Review the payroll grid

finTrack calculates gross pay, all deductions, tax, and net pay for each employee. Review the summary before posting.
3

Finalize & post

Click Finalize & Post. finTrack books the journal entries to your ledger and saves the run to Payroll History.

Download payslips

From Payroll → History, click the download button on any completed run to generate individual PDF payslips for each employee.

finTrack supports payroll for 11 countries including Sri Lanka, United States, United Kingdom, Singapore, India, Australia, Canada, Malaysia, Philippines, Germany, and Nigeria. Select Custom to configure your own pay items from scratch.

Payroll History

Every payroll run is saved with the period, employee count, gross pay, total tax, and net payable. You can download payslips for any past run at any time from the History page.

Tax Filing

Calculate tax liabilities directly from your recorded transactions and manage filings across multiple tax regimes.

Setting up tax regimes

Go to Tax → Settings to configure your tax regimes. A regime defines the rules for a specific tax type (e.g. Corporate Income Tax, VAT, Withholding Tax). You can have multiple active regimes at once.

Creating and managing filings

Create a new filing

From Tax, click New Filing. Select the tax regime, enter the filing name, and choose the period start and end dates.

Recalculate tax liability

Open the filing and click Recalculate. finTrack scans all transactions in the selected period and computes your gross income, allowable deductions, and tax payable based on the regime's bracket rules.

Review and export

Review the figures and use the Export menu to download the filing as a PDF or CSV for submission to your tax authority.

Mark as filed

Once submitted, change the filing status to Filed to keep your records organised.

Recording Withholding Tax (WHT)

Use the Record WHT button on the Tax dashboard to log a withholding tax transaction. Enter the gross amount and WHT rate — finTrack automatically calculates the net payment and the WHT liability, then books a three-way journal entry.

Multi-Jurisdiction Statutory Audit File Generator

finTrack features a dynamic, streaming statutory audit file generator supporting OECD SAF-T (UK HMRC), Singapore IRAS IAF, UAE FTA FAF, and Sri Lanka RAMIS IRD formats.

Tax calculations are based on the transactions and regime rules you have configured. Always have a qualified accountant review filings before submission to your local tax authority.

WHT TrackerPro

A dedicated module for managing Withholding Tax (WHT) remittances. Navigate to WHT Tracker from the sidebar's Confidence section.

How it works

finTrack groups your WHT transactions by calendar period (monthly). Each period shows the total WHT deducted, the due date, and its filing status — Pending, Filed, or Overdue.

Tag WHT on transactions

When recording a transaction, select a WHT account (WHT Receivable or WHT Payable) as part of the journal entry. finTrack automatically groups these into the correct monthly period in the WHT Tracker.

Review the period table

Open WHT Tracker. Each row represents one calendar month, showing the gross amount, WHT deducted, and the net payable to the tax authority.

Filter by business activity

If you have multiple business activities (e.g. consulting and software sales), use the Activity Scope picker to filter the period table to a specific activity — keeping each regime's WHT obligations separate.

File a period

Click a period row to open the filing drawer. Review the transactions included, enter the remittance reference number, upload the payment receipt, and click Mark as Filed. The period status updates immediately.

Pending

WHT deducted but not yet remitted to the tax authority. Shown in amber.

Filed

Remittance confirmed — reference number and receipt saved to the record.

Overdue

Due date has passed without a filing. Highlighted in red on the period table.

The WHT Tracker is a compliance aid. Always cross-check your remittance amounts against the official forms required by your tax authority before submission.

Auditor Workbench & Segregation of DutiesNew

finTrack features an enterprise-grade forensic auditing and internal control system adhering to PCAOB AS 2110 standards — providing automated statistical risk detection, digital voucher drawers, and immutable cryptographic trails.

Segregation of Duties (SoD) & Role Permissions

Invite independent accountants or external auditors from Settings → Team with the dedicated Accountant role. Enforced at the database level via Supabase PostgreSQL Row Level Security (RLS) policies:

  • Read-Only Financial Data: Auditors cannot alter historical transactions, modify accounts, or edit billing profiles.

  • Accountant Activity Log: Complete immutable audit trail tracking every voucher view, query resolution, and sign-off in Settings → Accountant Activity.

Technical Compliance & Audit Notice: This section outlines specialized cryptographic and security controls designed for IT administrators, compliance officers, and independent external auditors. Standard users and freelancers do not need to configure these advanced settings for day-to-day bookkeeping.

Cryptographic Hash Chaining

The modal shows a subtotal from all selected tasks. Confirm and an invoice draft is created with each task as a pre-filled line item.

Each invoice line item is linked back to its source task (sourceItemId). If you re-open the invoice, you can trace exactly which work items it covers.

Go to Contacts to add clients, vendors, and employees. Each contact stores name, email, phone, address, and role. When you link a transaction to a contact, finTrack tracks the full payment history — making it easy to answer "How much have I paid Supplier X this year?"

Go to supabase.com → Sign Up → create a new project. Name it anything (e.g. fintrack-db). Wait ~2 minutes for provisioning.

In your Supabase project: Settings → API. Copy the Project URL and the anon / public key.

In Supabase: SQL Editor → New Query. Paste the schema script (download from Settings → Workspace Configuration → Cloud Sync) and click Run.

Supabase's free tier allows up to 500 MB of database storage. For typical finTrack usage (transactions, invoices, contacts) this lasts several years. finTrack shows your current usage with a progress bar in Settings and in the Cloud Sync icon in the top navigation bar. When you reach 70% a warning appears; at 90% an upgrade prompt is shown.

Automated Compliance Lifecycle: Statutory retention schedules and cryptographic shredding operate automatically in the background based on your configured tax jurisdiction. Manual intervention is only required if custom corporate compliance rules must be defined.

To comply with statutory data privacy and liability laws, finTrack automates the secure forensic destruction of expired financial records based on configured retention lifecycles (5–10 years).

Frequently Asked Questions

Which plans include Cloud Sync?

Cloud Sync is available on Pro and Business plans only. Free plan users are local-only — data is stored in your browser's IndexedDB and never leaves your device. To sync across multiple devices, upgrade to Pro or Business from Settings → Plans & Billing.

Is Cloud Sync the same as a backup?

No. Cloud Sync is a live mirror — if you delete something, it disappears from all your devices. Backup & Recovery creates frozen snapshots you can roll back to.

What happens if I clear my browser data?

Your local IndexedDB is erased. If Cloud Sync is connected, re-opening finTrack and triggering a sync will restore your data from the cloud. If not connected, your only option is to restore from a local or Google Drive backup.

Can I use the same Supabase project on multiple finTrack accounts?

No — each finTrack account should have its own Supabase project. Sharing one project between accounts would mix data under the same Row Level Security identity.

Do I need to re-enter my Supabase credentials on every device?

No. Once you connect on one device, your Project URL, Anon Key, and email are saved to your finTrack account. On any new device, open Settings and only enter your Supabase password to reconnect.

Is my Supabase password stored by finTrack?

Never. finTrack only stores your URL, anon key, and email. Your password is used once to authenticate and is never saved anywhere in finTrack.

When should I upgrade my Supabase plan?

finTrack shows a warning at 70% of your 500 MB free tier and an upgrade prompt at 90%. For most users this takes years to reach. If you store a large number of file attachments, it could be sooner.

Clearing your browser data (cache, site data, or cookies) will erase your local finTrack database. Always keep a recent backup export or ensure Cloud Sync is connected before doing this.
